I’ve edited fiction books for a published author, and now, as a freelance editor, I work across websites, reports, marketing materials, and long form documents.​​

Proofreading is the final check. I’m looking for errors and inconsistencies that distract readers or make a document look untidy.

Copy editing happens a step earlier. It’s for when the writing itself needs a bit of help, such as awkward sentences, unclear wording, or sections that don’t flow the way you want them to.

​

As a general rule of thumb:

Drafty and messy? Copy editing.

Finished and almost ready to publish? Proofreading.

I tend to think of a content audit as preparation for what comes next. It’s zoomed out and forward-looking. It looks at what content you have, how it’s performing, what’s missing, and what might need updating.

Proofreading and copy editing sit much closer to the finish line.

 

Proofreading is the final quality check, when the work is nearly there and you want reassurance that everything reads as it should and nothing obvious has slipped through. Copy editing is more hands-on. It’s a tool you use to strengthen the writing itself before it reaches that final stage.

In short, a content audit looks across your content as a whole. Proofreading and copy editing focus on the individual piece in front of us.

Artificial intelligence does have some capabilities to proofread and edit, but there’s one main thing it struggles with, and that’s context. Namely, human context.
